The problem
The refund is approved. The customer is still waiting.
Support agrees to a refund, then escalates it to whoever has Stripe access. The customer waits while that person finds the charge, enters the amount, and picks a reason.
Partial refunds invite mistakes. A wrong amount or a missing reason code means a second ticket, and finance cannot easily trace which refund matched which approval.
The outcome
Approved refunds process in minutes
Stepwork finds the charge in Stripe and issues the approved full or partial refund with the reason code. The run records who asked, which approval it came from, and the refund it created.
- The request names the charge, the approved amount, and the reason.
- A charge that belongs to a different customer stops the run.
- The Slack reply includes the refund amount and status.
The process
From approved request to a refunded charge
Billing posts the approved refund in Slack. Stepwork issues it in the Stripe Dashboard, in the same order every time.
- Step 1
Request it in Slack
A teammate posts the approved refund: the customer, the charge, the amount, and the reason. That message starts the flow, and Stepwork records who asked and when.
- Step 2
Find the charge
Stepwork signs in to the Stripe Dashboard and opens the charge. If it belongs to a different customer, or the amount is more than what is left to refund, the run stops.
- Step 3
Issue the refund
Stepwork refunds the approved full or partial amount with the reason code, the same steps billing takes by hand.
- Step 4
Confirm and reply in Slack
Stepwork checks the refund on the charge, then posts the amount and status back in Slack.
Why Stepwork
Refunds follow the approval, not the queue
Stepwork runs the refund path you recorded in Stripe. It issues the amount your team approved and never decides a refund on its own. Credentials stay in 1Password.
