Automate store staff accounts across POS, back office, and Microsoft 365

Stepwork sets up and removes store staff across Microsoft 365, your fuel back office, and every POS they use, from one helpdesk ticket, the same way every time.

The problem

Every new cashier means logins in three or four systems.

When a store hires someone, IT creates a Microsoft 365 account, a POS ID at each store they'll cover, and a back-office login if they're a manager. When they leave, someone has to remember every one of those to turn off.

Stores hire all year. The work is simple and constant, and the risk is the step that gets missed: a former employee who can still ring sales at the register.

Systems

Works in the back office and POS your stores run

Fuel back-office systems and POS admin consoles rarely have APIs you can use. Stepwork works in their screens with an IT login, the same way your team does it today.

Example procedures

Joiners and leavers, every store

One branches on whether the new hire is a manager. One repeats for every store a leaver worked at. Swap in your back office and POS and the steps stay the same.

New store employee across Microsoft Entra ID, PDI Enterprise, and Verifone Commander

A store hires someone and opens one ticket. Stepwork creates their account, their POS ID at that store, and a back-office login only if they're a manager, then closes the ticket.

Step by step

  1. 1
    The ticket comes in
The store manager fills in the new-hire form in Freshservice: name, store number, and role. That ticket starts the run.
  2. 2
    The account gets created
The recorded flow creates their account in Microsoft Entra ID and hands back the email address.
  3. 3
    The rule checks the role
Store and assistant managers take the top path. Cashiers go straight to the POS.
    • If store managerAdd a manager login in PDI Enterprise
    • If cashierCreate their POS ID in Verifone Commander
  4. 4
    Managers get the back office
Only for managers: Stepwork adds a PDI Enterprise login for their store, so cashiers never get access they don't need.
Only on this path: If store manager
  5. 5
    The POS ID gets created
Both paths meet here. Stepwork creates the employee in Verifone Commander at their store with the right role.
  6. 6
    The ticket closes itself
The ticket gets the email address and POS ID, and closes. The run record shows every account it created.

Remove a leaver from every store's Verifone Commander

Someone leaves and the store opens one ticket. Stepwork blocks their sign-in first, then removes their POS ID at every store they worked at, and closes the ticket with a record of each one.

Step by step

  1. 1
    The leaver ticket comes in
The manager opens a leaver ticket in Freshservice with the name and last day.
  2. 2
    Sign-in gets blocked first
The recorded flow blocks sign-in in Microsoft Entra ID before anything else, so email and Teams access ends right away.
  3. 3
    It finds every store
Stepwork reads the stores the employee is set up at in PDI Enterprise. Each store is one pass through the loop.
  4. 4
    Each POS ID gets removed
Inside the dashed frame, Stepwork removes their ID in Verifone Commander at that store, then moves to the next one. Nobody has to remember which stores they covered.
Repeats: For each store they worked at · 3 stores
  5. 5
    The record gets written
After the last store, the Summary card lists every ID removed and anything that failed.
  6. 6
    The ticket closes with proof
The ticket closes with the list attached, which is the answer when an auditor asks who could still ring sales.

Why Stepwork

One ticket, every system, every time

Stepwork runs the same steps in Microsoft 365, your back office, and your POS consoles for every joiner and leaver, through their own screens. The leaver path blocks sign-in first and works through every store, so there's no register someone can still log in to. Every run records what was created and removed.

FAQ

Common questions

  • It works in the POS admin screens your team already logs in to, so it isn't tied to one brand. The same procedure runs against Verifone Commander, Gilbarco Passport, or NCR Radiant.
  • No. Stepwork doesn't use an API; it works in the screens with an IT login, the same way your team does today.
  • The leaver procedure blocks sign-in first, then reads every store the employee is set up at and removes their POS ID at each one. The ticket closes with a list of what was removed.
  • They can ask in Teams or open a ticket, and Stepwork resets it in the POS console. The run records who asked and which store.
