The problem

Your WMS runs the warehouse. People still feed it by hand.

Your biggest clients send EDI. Everyone else emails a PDF and says ship this. Someone retypes each one into the WMS, line by line, and checks the SKUs against that client's items.

At month end, someone pulls storage and handling activity for each client out of the WMS and rebuilds it as an invoice. Same report, same invoice, every month, for every client.

Systems

Works in the WMS you've customized for twenty years

Many 3PLs run a WMS that's been tailored over decades, sometimes with one person who knows how it works. Stepwork uses its screens as they are, so nothing has to be integrated first.

Example procedures

Two procedures from the warehouse office

One branches on whether every SKU is on file. One repeats for every client at month end. Swap in your WMS and accounting system and the steps stay the same.

Emailed PDF order to an order in Custom WMS

Clients who don't send EDI email a PDF. AI reads it, every SKU is checked against that client's items in Custom WMS, and only clean orders go in. Anything unknown goes back to customer service.

Step by step

  1. 1
    The order email arrives
A client emails a PDF and asks you to ship it. The email landing in the orders inbox starts the run.
  2. 2
    AI reads the PDF
The AI card reads the client, the ship-to, every line, and the ship date, whatever layout that client uses.
  3. 3
    Each SKU gets checked
Stepwork looks up every line in the client's item list in Custom WMS and notes any it can't find.
  4. 4
    The rule holds bad orders
One unknown SKU sends the order down the top path. Clean orders go on to the WMS.
    • If a SKU is unknownSend it back to customer service
    • If all on fileEnter the order in Custom WMS
  5. 5
    Problems go to a person
Only when a SKU is unknown: the email goes back to customer service with the lines that didn't match, instead of a wrong order going into Custom WMS.
Only on this path: If a SKU is unknown
  6. 6
The order goes into the WMS
The recorded flow enters the order in Custom WMS's order screens, line by line, and hands back the order number.
Only on this path: If all on file
  7. 7
    The client hears back
Stepwork replies to the original email with the order number, so nobody has to ask if it went in.
Only on this path: If all on file

Monthly storage and handling billing in Microsoft Dynamics GP

On the 1st, Stepwork pulls last month's activity out of Custom WMS once, then works out, invoices, and emails each client's storage and handling charges in Microsoft Dynamics GP.

Step by step

  1. 1
    Last month comes out once
Stepwork runs the activity report in Custom WMS: pallets stored and orders shipped per client. Each client on it is one pass through the loop.
  2. 2
    The charges get worked out
Inside the dashed frame, a script applies the client's storage and handling rates. Same calculation every month, written once.
Repeats: For each client billed this month · 25 clients
  3. 3
    The invoice gets created
The recorded flow creates the invoice in Microsoft Dynamics GP with one line per charge.
Repeats: For each client billed this month · 25 clients
  4. 4
    The client gets it
The invoice goes to the client's billing email, then the loop moves to the next client.
Repeats: For each client billed this month · 25 clients
  5. 5
    The month gets totalled
After the last client, the Summary card totals what was billed and lists anything that failed.
  6. 6
    Accounting gets one email
Billing is done on the 1st instead of the 5th.

Why Stepwork

No EDI project, no WMS upgrade

Stepwork keys orders the way your team does, through your WMS's own screens, so the clients who will never send EDI still get their orders in within minutes. A rule holds any order with an unknown SKU for a person, and every run records what came in and what was created.

FAQ

Common questions

  • No. Clients can keep emailing PDFs. Stepwork reads each one and enters it in your WMS, and your EDI clients keep coming in the way they do now.
  • Yes. Stepwork records your screens as they are, custom fields and all. If a screen changes, you re-record that one step, not the whole procedure.
  • Every line is checked against the client's item list first. If any SKU is unknown, the order goes back to customer service instead of into the WMS.
  • Yes. On the 1st it pulls last month's activity per client, applies each client's rates, and creates and emails the invoices in Dynamics GP, QuickBooks, or whichever accounting system you use.
