The problem
Approved in email. Issued whenever finance gets to it.
An employee gets a purchase approved, then waits while finance reads the approval email and builds a virtual card in Ramp by hand.
Half the time a control gets missed: no category lock, no expiry, or a limit higher than what was approved. The card works, but it no longer matches the approval.
The outcome
Approved purchases unblock with the right controls
Stepwork creates the virtual card in Ramp with the approved limit, category lock, and expiry for the requesting employee. The run records who asked and which approval the card came from.
- The request names the approved purchase and its limit.
- The category lock and expiry are set on every card.
- An employee who is not in Ramp stops the run.
The process
From approved purchase to a virtual card
Finance posts the approved purchase in Slack. Stepwork issues the card in Ramp, in the same order every time.
- Step 1
Request it in Slack
A finance teammate posts the approved purchase, the employee, the limit, the category, and the expiry in the finance channel. That message starts the flow, and Stepwork records who asked and when.
- Step 2
Find the employee
Stepwork signs in to Ramp and finds the employee by work email. If there is no match, the run stops instead of guessing.
- Step 3
Issue the card
Stepwork creates the virtual card with the approved limit, category lock, and expiry, the same settings finance enters by hand.
- Step 4
Confirm and reply in Slack
Stepwork checks the card’s limit, lock, and expiry against the request, then posts the result back in Slack.
Why Stepwork
The card carries the approval’s limits
Stepwork runs the card issue path you recorded in Ramp. It does not approve purchases or choose limits; it issues the card your team already approved.
