Create PO in NetSuite

One approved request. One matching purchase order.

The problem

The purchase is approved. The PO is still a to-do.

Once a purchase request is approved, procurement re-keys it into NetSuite: the vendor, every line, the cost coding, and the delivery terms.

The vendor waits for a PO number while the request sits in a queue. Re-keyed lines drift from what was approved, and finance finds the difference at month end.

The outcome

Approved purchases become POs without re-keying

Stepwork creates the purchase order in NetSuite from the approved request. The run records who asked, which approval it came from, and the PO number it created.

  • The request names the approved purchase request.
  • A line total that differs from the approved amount stops the run.
  • The Slack reply includes the new PO number.

The process

From approved request to a NetSuite PO

Procurement posts the approved purchase request in Slack. Stepwork enters the PO in NetSuite, in the same order every time.

  1. Step 1

    Request it in Slack

A buyer posts the approved purchase request in the procurement channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

Open a PO for the vendor

Stepwork signs in to NetSuite and opens a new purchase order for the vendor on the request. If the vendor is not in NetSuite, the run stops.

  3. Step 3

    Enter lines and coding

Stepwork adds each line with its cost coding and delivery terms. If the line total does not match the approved amount, the run stops before saving.

  4. Step 4

    Confirm and reply in Slack

Stepwork saves the PO and checks it against the request, then posts the PO number back in Slack.

Why Stepwork

The PO matches the approval, line for line

Stepwork runs the purchase order path you recorded in NetSuite. Lines and coding come from the approved request, so what gets ordered is what was approved.

FAQ

Common questions

  • Post the approved purchase request in Slack. Stepwork opens a new PO for that vendor, enters the lines, cost coding, and delivery terms, and replies with the PO number.
  • No. The request is approved in your normal process first. Stepwork enters that approved request, and stops if the line total does not match the approved amount.
  • The run stops. Creating a vendor record from approved onboarding is a separate flow, and the PO can run once the vendor exists.
