Enter journal in NetSuite

One approved checklist item. One journal, entered as prepared.

The problem

Close week, and the same journals by hand again.

Every close, accountants key the same standard journals into NetSuite from a prep sheet: accruals, reclasses, and allocations, line by line.

It takes hours that close week does not have. A swapped account or a missing memo turns into a correcting entry, and the support for each journal lives in a separate file.

The outcome

Standard journals entered accurately, without the keying marathon

Stepwork creates the journal entry in NetSuite from the approved close-checklist item, with its lines, memo, and supporting reference. The run records who asked and which checklist item it came from.

  • The request names the approved close-checklist item.
  • Lines that differ from the approved item stop the run.
  • The Slack reply includes the journal number.

The process

From approved checklist item to a NetSuite journal

An accountant posts the approved close-checklist item in Slack. Stepwork enters the journal in NetSuite, in the same order every time.

  1. Step 1

    Request it in Slack

An accountant posts the approved close-checklist item in the close channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Open a new journal

Stepwork signs in to NetSuite and opens a new journal entry for the period on the checklist item. If that period is closed, the run stops.

  3. Step 3

    Enter lines and memo

Stepwork adds each line, the memo, and the supporting reference from the checklist item. If NetSuite rejects the entry, for example because the lines do not balance, the run stops.

  4. Step 4

    Confirm and reply in Slack

Stepwork saves the journal and checks it against the approved item, then posts the journal number back in Slack.

Why Stepwork

The journal matches the prep, every close

A deterministic agent runs the journal entry path you recorded in NetSuite. Lines come from the approved item, not from someone retyping a prep sheet late in close week.

FAQ

Common questions

  • Post the approved close-checklist item in Slack. Stepwork opens a new journal for that period, enters the lines, memo, and supporting reference, and replies with the journal number.
  • No. Your team approves the checklist item first, and Stepwork enters it as prepared. If your NetSuite account routes journals for approval, the entry follows that routing like any other.
  • NetSuite will not save an unbalanced journal, so the run stops on that step and records the reason. Nothing is entered until the checklist item is fixed.
