The problem
The laptop changed hands. The record didn’t.
When a Mac moves from one person to another, the helpdesk hands it over and means to update Jamf later. Later often never comes, so the record still names the last owner.
The device stays in the wrong smart group. It keeps the old owner’s apps and settings, and the next audit of who holds which laptop starts with a cleanup.
The outcome
Asset records stay true through every handoff
Stepwork updates the assigned user on the device in Jamf and moves it into the smart-group scope for its new owner. The run records who asked, which device moved, and who holds it now.
- The assigned user is updated on the device record.
- The device lands in the new owner’s smart-group scope.
- A serial number with no match stops the run.
The process
From Slack request to an updated device record
A teammate posts the device and its new owner in Slack. Stepwork updates the record in Jamf, in the same order every time.
- Step 1
Request it in Slack
A teammate posts the Mac’s serial number and the new owner’s work email in the helpdesk channel. That message starts the flow, and Stepwork records who asked and when.
- Step 2
Open the device record
Stepwork signs in to Jamf and opens the computer record for that serial number. If there is no match, the run stops instead of guessing.
- Step 3
Update the owner and scope
Stepwork sets the new owner in the device’s user details, the same edit an admin makes by hand, so the device moves into the smart-group scope for that person.
- Step 4
Confirm and reply in Slack
Stepwork checks the assigned user and smart-group membership, then posts the result back in Slack.
Why Stepwork
Every handoff updates the record the same way
Stepwork runs the reassign path you recorded in Jamf. The asset record changes when the laptop does, not when someone remembers to update it.
