Create user in Okta

One Slack request. One Okta account, with the right groups.

The problem

Day one starts. Their apps don’t.

A new hire’s details arrive in Slack or an HR email, and someone in IT builds the Okta account by hand. They type the name, email, and title, then work out which groups the role needs.

Miss one group and the person spends their first morning asking for access. Add the wrong one and they can open apps they should never see. Done by hand, the same role is rarely set up the same way every time, so no two accounts match.

Deterministic agents

The outcome

The account is ready before their first morning

Stepwork creates the Okta account and assigns the groups from the request. The new hire can open their apps on day one, and the run records who asked and which groups were added.

  • The account is created with the name, email, and title from the request.
  • Every group in the request is assigned.
  • A duplicate email stops the run.

The process

From Slack request to a ready Okta account

A teammate posts the new hire’s details in Slack. Stepwork creates the account in the Okta admin console and adds their groups, in the same order every time.

  1. Step 1

    Request it in Slack

A teammate posts the new hire’s name, work email, title, and groups in the onboarding channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Add the person

Stepwork signs in to the Okta admin console and adds the user with their name, work email, and title. If that email already belongs to someone, the run stops instead of creating a duplicate.

  3. Step 3

    Assign their groups

Stepwork adds the user to each group from the request. Those groups grant their apps, so access is ready on their first day.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks the account and its group memberships, then posts the result back in the onboarding channel.

Why Stepwork

The same role gets the same groups

Stepwork runs the path you recorded in the Okta admin console: add the person, then assign each group from the request. Two new hires in the same role get the same groups, because the path does not change with who picks up the ticket.

FAQ

Common questions

  • Record it once in the Okta admin console: add the person, then assign the groups. After that, a Slack request runs the same path. Stepwork stops if the email already belongs to someone.
  • Yes. A teammate posts the name, work email, title, and groups in the onboarding channel. Stepwork creates the account, assigns those groups, and posts the result back.
  • No. This flow only creates the Okta user and assigns groups. The Google account is a separate flow, creating the user in their Google Workspace org unit.

  • The run stops on that step and records the reason. It does not skip the group or pick a similarly named one.
