Create intake in Zip

One Slack message. The request enters the official process.

The problem

The form feels heavy. So people skip it.

Employees who need a tool or a service ask in Slack first. Faced with a long intake form, some give up and buy on a card, and procurement learns about the vendor at renewal.

The ones who do fill it in often leave out the amount or the justification, so the request bounces back and the clock starts over.

The outcome

Purchases enter the official process from Slack

Stepwork creates the purchase request in Zip with the vendor, amount, category, and business justification from the requester’s details. Zip routes it for approval as usual, and the run records who asked and the request it created.

  • The requester’s Slack details fill the Zip intake form.
  • A request missing the vendor, amount, or justification stops the run.
  • The Slack reply includes the Zip request number.

The process

From a Slack message to a Zip request

An employee posts what they need in Slack. Stepwork files the intake request in Zip, in the same order every time.

  1. Step 1

    Request it in Slack

An employee posts the vendor, the amount, the category, and why they need it in the procurement channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Start the intake form

Stepwork signs in to Zip and opens a new purchase request on the requester’s behalf. If the vendor, amount, or justification is missing, the run stops and the reply says what to add.

  3. Step 3

    Fill and submit

Stepwork enters the vendor, amount, category, and business justification, then submits the request so Zip routes it to your approvers.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks the request saved in Zip, then posts the request number back in Slack.

Why Stepwork

The easy path is the official one

FAQ

Common questions

  • Post the vendor, amount, category, and justification in Slack. Stepwork fills the Zip intake form, submits it, and replies with the request number.
  • No. Stepwork only files the request. Zip routes it through your normal approval chain, and nothing is bought until your approvers sign off.
  • Approved requests can feed the next step. Creating a requisition in Coupa from an approved request is a separate flow, as is creating a purchase order in NetSuite from an approved request.
