Business outcome
No deal retyped; every order number back in the CRM

The problem

The deal closes. The ERP finds out when someone retypes it.

A deal goes Closed Won in the CRM, and someone in finance rebuilds it in the ERP: the customer, the billing address, the terms, each line item. It's copy and paste between two screens, and it waits until someone has a free hour.

Every retyped field is a chance to get it wrong. A missing line item is revenue that never gets billed, a wrong address is an invoice that never arrives, and the CRM never hears the order number back, so sales can't see what was invoiced.

Systems

Any CRM, any ERP

The steps are the same whichever systems you run: find the customer, create it if it's new, enter the order, send the number back. Stepwork works in each system's own screens, so swapping one for another means re-recording a step, not starting over.

Three ways a deal moves between CRM and ERP

One creates the customer only when it is new, one repeats for every line item, and one sends payment status back the other way. Swap in your CRM and ERP above each one and the steps stay the same.

Closed-won deal in Microsoft Dynamics 365 to a sales order in Sage 100

A closed-won deal in Microsoft Dynamics 365 becomes a sales order in Sage 100 without anyone retyping it. A rule creates the customer only when it is new, and Microsoft Dynamics 365 gets the order number back.

Step by step

  1. 1
    The deal closes
A deal moves to Closed Won in Microsoft Dynamics 365. That stage change starts the run with the deal and the account name.
  2. 2
    Stepwork reads the deal
It opens the deal and reads the billing address, the payment terms, and every line item: the fields finance would otherwise retype.
  3. 3
    It looks for the customer
Before creating anything, Stepwork searches Sage 100 for a customer with the account's name.
  4. 4
    The rule prevents duplicates
If no customer matches, the run takes the top path and creates one. If the customer exists, it skips straight to the order.
    • If new customerCreate the customer in Sage 100
    • If customer existsEnter the sales order in Sage 100
  5. 5
    A new customer gets created
Only for new customers: the recorded Sage 100 flow fills in the name, billing address, and terms from the deal.
Only on this path: If new customer
  6. 6
    The sales order gets entered
Both paths meet here. Stepwork enters the sales order against the customer, one line per product on the deal.
  7. 7
    The CRM hears back
The order number goes onto the deal in Microsoft Dynamics 365, so sales can see what was booked without asking finance.

Closed deal in Microsoft Dynamics 365 to an invoice in QuickBooks Desktop

A closed deal in Microsoft Dynamics 365 becomes an invoice in QuickBooks Desktop. A loop adds one invoice line per line item, so long deals come out as complete as short ones.

Step by step

  1. 1
    The deal closes
A deal moves to Closed Won in Microsoft Dynamics 365, and the run starts with its ID.
  2. 2
    Stepwork reads the deal
It reads the company, the billing contact's email, and each line item. Every line it finds is one pass through the loop.
  3. 3
    It matches the customer
The recorded QuickBooks Desktop flow finds the customer by name, or adds them if they are new, and hands on the customer reference.
  4. 4
    The loop adds each line
Inside the dashed frame, Stepwork adds one invoice line per product, with its quantity and price. A deal with forty lines runs the same way as a deal with two.
Repeats: For each line item on the deal · 6 lines
  5. 5
    The invoice goes out
After the last line, the invoice is sent to the billing email from the deal.
  6. 6
The CRM gets the invoice number
Stepwork saves the invoice number on the deal in Microsoft Dynamics 365, so the account team can see it was billed.

  1. 1
    The aging report comes in
Every Monday, Stepwork pulls the AR aging report from Sage 100. Each customer on it is one pass through the loop.
  2. 2
    The rule checks each account
Inside the loop, the Rule card reads how many days the customer is overdue. 60 days or more takes the credit-hold path; every other account goes straight to the balance update.
    • If 60+ days overduePut the account on credit hold in Microsoft Dynamics 365
    • If currentUpdate the open balance in Microsoft Dynamics 365
Repeats: For each customer on the aging report · 38 customers
  3. 3
    Overdue accounts go on hold
Only for accounts 60+ days overdue: Stepwork sets credit hold on the account in Microsoft Dynamics 365, so sales sees it before the next order.
Only on this path: If 60+ days overdueRepeats: For each customer on the aging report · 38 customers
  4. 4
    Every balance gets updated
Both paths meet here. The open balance on the account is updated to match Sage 100, then the loop moves to the next customer.
Repeats: For each customer on the aging report · 38 customers
  5. 5
    Finance gets the digest
After the last customer, Stepwork posts one digest to finance in Microsoft Teams with every balance it updated and every hold it set.

Why Stepwork

Every field lands in the same place, every time

Stepwork runs the mapping you set once: which CRM field fills which ERP field, and what happens when a value is missing. A rule checks for an existing customer before creating one, so duplicates don't pile up. Because Stepwork works in each system's own screens, it doesn't matter which CRM or ERP you run, how old it is, or whether it has an API.

FAQ

Common questions

  • Record once how your team creates a customer and a sales order in the ERP. Stepwork then runs it whenever a deal moves to Closed Won, filling each field from the deal and writing the order number back to the CRM.
  • Yes. Stepwork isn't tied to one vendor. It works in each system's screens, so the same procedure runs with Dynamics 365, Act!, GoldMine, Maximizer, Salesforce, or HubSpot on one side and Sage, Dynamics GP, Epicor, QuickBooks, or NetSuite on the other.
  • Not when the procedure checks first. A Rule card looks for the customer in the ERP and only takes the create path when none is found. Existing customers go straight to the order.
  • Yes. The reverse procedure reads AR aging from the ERP each week and updates every account in the CRM, putting accounts 60+ days overdue on credit hold and posting a digest for finance.
  • No. Stepwork works in each system's own screens with the access your team already has, so custom fields and forms work like standard ones. Where an API is simpler, a procedure can use one too.
