Transfer Zoom meetings

One Slack request. Meetings and recordings stay.

The problem

The host left. The customer meeting is still on the calendar.

Upcoming meetings, webinars, and cloud recordings sit under the departing user’s Zoom account. Deactivating them without a transfer drops live sessions and loses recordings the team still needs.

IT ends up rescheduling by hand and downloading files one by one. That work trails the rest of employee offboarding, so customers hit broken meeting links.

The outcome

Meetings and recordings survive the departure

Stepwork transfers upcoming meetings, webinars, and cloud recordings to the colleague named in the request before anyone deactivates the user. Customer sessions keep their host, and the run records who asked and what moved as part of employee offboarding.

Employee offboarding
  • Upcoming meetings and webinars move to the named colleague.
  • Cloud recordings transfer with them.
  • If the user or colleague cannot be found, the run stops.

The process

From Slack request to transferred Zoom assets

A teammate posts the leaver and the receiving colleague in Slack. Stepwork moves meetings and recordings in Zoom admin.

  1. Step 1

    Request it in Slack

A teammate posts the departing employee’s work email and the colleague who should receive meetings and recordings. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Find both users

Stepwork signs in to the Zoom admin portal and locates the departing user and the receiving colleague. If either is missing, the run stops.

  3. Step 3

    Transfer meetings and recordings

Stepwork transfers upcoming meetings, webinars, and cloud recordings to the named colleague.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks that ownership moved, then posts the result back in Slack.

Why Stepwork

Ownership moves before the account dies

Stepwork runs the transfer path you recorded. Customer meetings and recordings do not vanish when deactivation comes next.

FAQ

Common questions

  • Post the departing user’s email and the receiving colleague in Slack. Stepwork transfers meetings, webinars, and cloud recordings, then confirms the move.
  • No. Deactivating the user is a separate Zoom flow. Run the transfer first when assets still matter.
    Deactivate user in Zoom
  • Stepwork still transfers any cloud recordings it finds and replies with what moved. Empty meeting lists do not fail the run.
