Deactivate Zoom user

One Slack request. Meetings closed. Seat freed.

The problem

They left. They can still host meetings.

Zoom often sits outside the main identity cut, so offboarding misses it. A former employee keeps a licensed account until someone opens the Zoom admin portal.

Meeting links and recordings stay tied to that login. Every day it waits is another day of access after the rest of employee offboarding is done.

The outcome

Meeting access ends and the seat is free

Stepwork deactivates the Zoom user and frees their license. Access ends with the request as one step of employee offboarding, and the run records who asked and when.

Employee offboarding
  • The account is deactivated.
  • The paid license is freed.
  • If the user cannot be found, the run stops.

The process

From Slack request to a deactivated Zoom user

A teammate posts the request in Slack. Stepwork deactivates the user in Zoom admin, in the same order every time.

  1. Step 1

    Request it in Slack

A teammate posts the departing employee’s work email in the offboarding channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Find the user

Stepwork signs in to the Zoom admin portal and locates the user. If nobody matches, or more than one does, the run stops.

  3. Step 3

    Deactivate the account

Stepwork deactivates the account, the same change an admin makes by hand. The license is freed.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks that the user is deactivated, then posts the result back in Slack with a timestamp.
