Downgrade Zoom license

One Slack request. Paid seats match real hosts.

Book a Demo

The problem

They rarely host. They still hold a licensed seat.

People keep paid Zoom licenses long after they stop hosting. IT finds them in utilization reports, then waits for someone with admin access to change the license by hand.

Until that happens, the bill covers basic users as if they were hosts. Seat reclaim slips to renewal season, and spend drifts away from who actually runs meetings.

The outcome

Paid Zoom seats match people who host

Stepwork changes the user from licensed to basic in Zoom admin. The paid seat is reclaimed, they can still join meetings, and the run records who asked and when.

  • The license changes from licensed to basic.
  • They keep the ability to join meetings.
  • If the user cannot be found, the run stops.

The process

From Slack request to a basic seat

IT posts the user in Slack. Stepwork changes their license in Zoom admin.

  1. Step 1

    Request it in Slack

A teammate posts the person’s work email in the access channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Find the user

Stepwork signs in to the Zoom admin portal and locates the user and their current license.

  3. Step 3

    Change licensed to basic

Stepwork sets the license to basic, reclaiming the paid seat.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks that the user now shows as basic, then posts the result back in Slack.

Why Stepwork

Seat changes happen when IT asks

Stepwork runs the license change you recorded in Zoom admin. Paid seats stay tied to people who host, without waiting on renewal cleanup.
