Reassign Asana tasks

One Slack request. Open work gets new owners.

The problem

Open tasks stall under a name that left.

After someone leaves, their open Asana tasks sit across projects with nobody chasing them. Ops and program leads triage by hand for weeks in busy portfolios.

Work quietly ages. Deadlines slip because the assignee field still points at someone who is gone.

The outcome

Ownership transfers on departure day

Stepwork finds the departing employee’s open tasks across projects and reassigns them to the successor or project leads named in the request. After ownership moves, Remove member from Asana ends their organization seat.

Remove member from Asana
  • Open tasks for that person are found across projects.
  • Each task moves to the named successor or project lead.
  • If the member cannot be found, the run stops.

The process

From Slack request to reassigned Asana tasks

Ops posts the leaver and the successor in Slack. Stepwork finds open tasks and reassigns them.

  1. Step 1

    Request it in Slack

A teammate posts the departing employee’s email and who should take their open tasks. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Find open tasks

Stepwork signs in to Asana and lists open tasks assigned to that person across projects. If the member cannot be found, the run stops.

  3. Step 3

    Reassign the tasks

Stepwork reassigns each open task to the successor or project leads from the request.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks that the tasks moved, then posts the count and result back in Slack.

  • No. Removing a member from Asana is a separate flow. Run task reassignment when open work still needs owners.
    Remove member from Asana
