The problem
They’ve left. Their Gmail still works.
When someone leaves, their Google account often stays active until an admin gets to the ticket. Until then they can still read email, open Drive, and share files from a personal device.
Some admins delete the account to be safe, and the person’s email and files go with it. Suspending ends access and keeps the data, but it is one task among many in employee offboarding, and it is easy to do late or out of order.
The outcome
Sign-in ends, and the email and files stay
Stepwork suspends the Google account. Gmail, Drive, and the other Google services stop accepting the person, and their data stays in place. The run records who asked and when the account was suspended.
- Sign-in to Google services is blocked.
- Email and Drive files are kept.
- The Slack reply includes the time the account was suspended.
The process
From Slack request to suspended account
A teammate posts the request in Slack. Stepwork suspends the account in the Google Admin console, and the person’s email and Drive files stay in place.
- Step 1
Request it in Slack
A teammate posts the departing employee’s work email in the offboarding channel. That message starts the flow, and Stepwork records who asked and when.

- Step 2
Find the user by email
Stepwork signs in to the Google Admin console and opens the user with that exact work email. If there is no match, the run stops instead of guessing.

- Step 3
Suspend the account
Stepwork suspends the user. Sign-in to Gmail, Drive, and other Google services ends, and their data is kept.

- Step 4
Confirm and reply in Slack
Stepwork checks that the account shows as Suspended, then posts the result back in Slack with a timestamp.

Why Stepwork
The account is suspended, not deleted
Stepwork runs the path you recorded in the Google Admin console. That path suspends the user. It does not delete them, so the email and Drive files stay where the team can still reach them.
