Deactivate expired guests

Every week. Every expired guest removed.

The problem

The contract ended. The guest account didn’t.

Contractors and agencies join Slack as guests. When their work ends, their accounts usually stay, because nobody tracks the end dates.

Over months the workspace fills with guests who can still read the channels they were added to. Checking every guest by hand takes hours, so the access review gets pushed to next quarter.

The outcome

Guests past their end date are removed every week

Stepwork checks the workspace’s guest accounts and deactivates the ones whose end date has passed. Guests with time left are left alone, and the run posts who was removed.

  • The check runs every week on its own.
  • Only guests past their end date are deactivated.
  • Slack gets the list of who was removed.

The process

From weekly check to removed guests

Every week, Stepwork checks the workspace’s guest accounts against their end dates and deactivates the ones that have passed.

  1. Step 1

    Start on schedule

The run starts every week on its own. Nobody has to remember when a contract ended.

Stepwork automation set to run every Monday at 9:00 AM and deactivate expired Slack guest accounts
  2. Step 2

    List the guest accounts

Stepwork signs in to Slack’s member management page and filters the list to guest accounts.

Slack guest list filtered to guest accounts, each still Active
  3. Step 3

    Check each end date

Stepwork compares each guest’s end date with today. Guests with time left are skipped.

Slack guest list with expired end dates marked and guests with time left still Active
  4. Step 4

    Deactivate and report

Stepwork deactivates every guest past their end date, then posts the list of who was removed in Slack.

Slack confirmation that three expired guest accounts were deactivated

Why Stepwork

End dates are checked without a reminder

The path runs every week. Stepwork lists the guest accounts, compares each end date with today, and deactivates only the ones that have passed. Guests with time left are skipped.
