The problem
They’ve left. They can still open every account.
When a rep or manager leaves, their Salesforce user stays active until an admin gets to it in Setup. Until then they can sign in and open the accounts, contacts, and pipeline they worked on.
Every day it waits is a day of customer data within reach of someone who no longer works there, and a paid license nobody is using. Salesforce does not let you delete users, so deactivating is the step that matters.
The outcome
Customer data closes when the request lands
Stepwork deactivates the Salesforce user. They can no longer sign in, their records stay in place, and the license is free for the next hire. The run records who asked and when, as one step of employee offboarding.
- Sign-in to Salesforce ends.
- Records the user owned stay where they are.
- If Salesforce blocks the change, the run stops and records why.
The process
From Slack request to deactivated user
A teammate posts the request in Slack. Stepwork deactivates the user in Salesforce Setup, in the same order every time.
- Step 1
Request it in Slack
A teammate posts the departing employee’s work email in the offboarding channel. That message starts the flow, and Stepwork records who asked and when.

- Step 2
Find the user in Setup
Stepwork signs in to Salesforce with a credential read from 1Password at run time and opens Users in Setup. If no user has that email, or more than one does, the run stops instead of guessing.

- Step 3
Deactivate the user
Stepwork edits the user and clears Active, the same change a Salesforce admin makes. The license is released.

- Step 4
Confirm and reply in Slack
Stepwork checks that the user now shows as inactive, then posts the result back in Slack with a timestamp.

Why Stepwork
Deactivated in Setup, the same way each time
Stepwork runs the path you recorded in Salesforce Setup. When the Setup page changes, AI vision recognizes the field and the run continues. When Salesforce refuses the change, the run stops and says why.
