Close DocuSign user

One Slack request. Envelopes stay with the team.

The problem

They left. Their agreements stayed open under their name.

In-flight DocuSign envelopes stall when the sender leaves. Recipients wait on a dead account while IT hunts down who should own the templates next.

Closing the user without a transfer drops active agreements. Doing the transfer by hand trails the rest of employee offboarding, so signature work freezes for days.

The outcome

Signature workflows survive the departure

Stepwork closes the DocuSign user and moves their envelopes and templates to the colleague named in the request. Active agreements keep moving as one step of employee offboarding, and the run records who asked and when.

Employee offboarding
  • Envelopes and templates move to the named colleague.
  • The departing user’s DocuSign account is closed.
  • If the user cannot be found, the run stops.

The process

From Slack request to a closed DocuSign user

A teammate posts the request in Slack. Stepwork transfers ownership, then closes the user, in the same order every time.

  1. Step 1

    Request it in Slack

A teammate posts the departing employee’s work email and the colleague who should receive their envelopes in the offboarding channel. That message starts the flow, and Stepwork records who asked and when.

  2. Step 2

    Find the user

Stepwork signs in to DocuSign admin and locates the user. If nobody matches, or more than one does, the run stops.

  3. Step 3

    Transfer, then close

Stepwork transfers envelopes and templates to the named colleague, then closes the departing user’s account.

  4. Step 4

    Confirm and reply in Slack

Stepwork checks that the account is closed and ownership moved, then posts the result back in Slack.

Why Stepwork

DocuSign is on the offboarding path

FAQ

Common questions

  • Post their work email and the receiving colleague in Slack. Stepwork transfers envelopes and templates, closes the account, and confirms both steps.
  • No. Sending an envelope from a template is a separate DocuSign flow.
Send envelope from template in DocuSign
  • The run stops on the transfer step and records the reason. It does not close the user without a successful transfer.
